Meeting rooms are extremely important in the modern day business world, however in some instances it's proved to be rather tricky when trying to create the perfect meeting room setting, especially if space is an issue.

Most businesses will regularly meet with clients or fellow employees therefore having a formal or informal space to communicate is critical.

So what are the key aspects when it comes to designing your perfect meeting room?

First let's chat about why meeting rooms are so important : Meeting rooms provide a space for clients or work colleagues to gather and discuss in a more private and less distracting setting. Without the meeting room you would find yourself trying to listen to someone speaking whilst hearing the noisy tapping on the keyboards. Not ideal right? You must consider your employees' needs : Understanding what your workplaces team needs to succeed is vital in any professional environment.  Is your meeting room going to be used just for clients and customers or is it also a space where you and your team can brainstorm new ideas? You must take these things into consideration. You should also think about how private you and your employees may want the meeting room to be. Should the room be easily accessible or not?

The layout and furnishing of your meeting room : The typical layout of meeting rooms tend to be the large table as a centerpiece and formal chairs surrounding it. Maybe a projector or screen too if useful. The centerpiece usually makes a grand statement about your company which is always a positive factor. However, when designing your meeting room make sure you analyze what suits you and your business best. If a dramatic table doesn't seem right for your workplace that's fine. A contemporary and simple look can be just as effective.  Figure out what the room will be used for. For example, if you don't plan on having regular presentations taking place an expensive screen or projector may not be the wise decision. If your staff members regularly meet up to develop new ideas, furnishing such as notice boards and clipboards would be perfect for jotting down ideas.

Technology in the meeting room : Technology is something we don't ten to go a day without using especially in the business world. We have an advantage in our generation as we can do almost anything at the click of a button. You must consider what your staff members or clients need whilst in the meeting room such as power access and charging ports. Many meetings consist of people bringing laptops to keep information, share information or even email, therefore a meeting room with no power access would be extremely unprofessional. Other technology such as USB charging ports, wireless charging ports and all that jazz are all ideal for a meeting room. You need to cater for your audience therefore if you have many employees who need regular access to power this needs to be taken into consideration.   

Other factors to consider when designing :

•    Lighting - Lighting is often neglected and not taken into account however it should be reviewed. Lighting can often be too harsh in working environments causing staff or clients to get headaches or not be able to see their screens clearly. Lighting should be subtle and set the tone for the meeting room.

•    Sound - Noisy chatter is the last thing employees want to hear when they are trying to work so creating a meeting room which stops sound from distracting others will mean both you, your clients and your employees will be satisfied. A method of stopping the noise is through  wall mounted acoustic panels. These are designed to keep the noise within one room.

•    Colour scheme - Picking your colour scheme can be tricky. The best professional advice however, is to stick to what you know best. That being yourn logo colour scheme. If you feel your logo contains too many dramatic colours then go with neutral tones in your meeting room but use accent colours which are in your logo. You will get the perfect professional feel in your meeting room.
