Get yourself a dongle!

Every week, businesses receive calls, emails, texts, letters and possibly even visits from companies trying to persuade them that Gadget X is the answer to their prayers. It probably will not help to know that, here in our office, we get exactly the same sort of approaches. Everybody wants us to part with our money for the latest new thing. Recently, though, we heard about a piece of technology that made us sit up and take notice.

The product in question is a ‘dongle,’ which is the rather comical name for a small device that you plug into your computer. The dongle, in itself, is not a new idea. Dongles have been proven technology for many years. Our attention was firmly caught, though, by what this particular dongle does.

Fuel Card Group, our parent company, has delivered a GPS Dongle for use with its ground-breaking MileageCount system – and the concept, and use of the device, could not be simpler. Your driver plugs it into the cigarette lighter socket in their vehicle. Whenever appropriate – at the end of the journey, or day, or month – they take it out. Then, they plug the GPS Dongle into their laptop, or whichever other computer links to your system. Instantly, it downloads details of every journey they’ve done, with satellite-mapped locations accurate to within a few metres. All they have to do is to go through the list, identifying each trip as business or private mileage. How foolproof a system do you want?

Any business that has ever felt a heavy HMRC hand on their shoulder, or worried about a call, will immediately see the significance. It means that the annual mileage reporting chore is not just greatly simplified, but requires virtually no manual input. Even better, you can send your year-end figures to the taxman with confidence in their completeness and accuracy. When it comes to keeping the taxman happy, it does not get much easier.
