The good news is that finding the sweet spot isn’t guesswork. A few sensible questions will point you to the right number nearly every time.

Understand the Economics First

Here’s the thing most people don’t realise about print. The bulk of the cost isn’t in the paper or the ink — it’s in the setup. Getting a job onto the press takes the same time and effort whether you’re printing fifty copies or five thousand.

That’s why the price per unit drops dramatically as quantities go up. Printing 500 leaflets doesn’t cost ten times as much as printing 50. Often it costs less than three times as much. Double your order and the per-unit cost typically falls sharply.

How quickly will you get through them?Watch how quickly you go through your current stock. If a box of 500 business cards lasts you a year, don’t order 5,000. If your rack cards vanish in a fortnight, don’t be shy about scaling up.

The Case for Ordering More Than You Think

There are genuine reasons to lean towards larger runs when they make sense. The per-unit cost is significantly lower. You avoid the disruption and expense of reordering mid-campaign. You’ve always got stock ready to grab when an unexpected opportunity comes up — a last-minute event, a client meeting, a walk-in enquiry.

Print that sits ready is better than print that needs to be commissioned in a panic.

Equally, there are moments when restraint is the wiser move. If you’re testing a design, an offer, or a campaign, print a smaller run first. See how it performs, gather feedback, then reorder with confidence — perhaps with tweaks that make the next batch even stronger.
