Electronic Document Management − Why It’s The Future Of Business
Document management is a key essential for the majority of companies that deal with documents on a daily basis and have a large amount of them stocked up, as well as companies with smaller quantities of documents, as the organisation involved can be as important as any other aspect of the business itself.
since the birth of the business. Yearly we have seen a major increase in the amount of businesses investing in digital document management as they realise the benefits that can come with it. Even if you are one of the companies that has a manual document management system, there’s no reason why that can’t be improved dramatically, right?Electronic document management is essential exactly what it says; it’s a way of handling your files and paperwork on a complete digital basis. This means that no, or very little, paper is being used and all documents are handled electronically by computer. The files can be stored on a standard hard-drive, over a network so the files can be shared by a whole building of people, or an online server so they can be shared, not just within your own office, but across the world potentially.
The beauty of electronic document management systems lies simply in its ease of use and the amount it can save you and your company. Pearl Scan’s own document management software, LazyWorks and the newly released Halogen, both provide simple and ease to operate interfaces so the learning curve will effectively be very little or even nothing if your staff are used to dealing with documents on a computer. A lot of the document management software can be quite tricky to use but we have specially developed our software to be as easy to use as possible. After all, if not for ease of use and flexibility what else is the point of electronic document management?
Well there’s lots of other reasons actually. There’s the sheer amount of time it can save from seeping through hundreds of documents daily to try to find the information you need. With a digital document system all your files will be scanned by our bureau and made searchable by text. This effectively means that you are going to be able to type in particular keywords or phrases and the document management software will show you the results of what you type in which will consist of documents that have your keyword or key phrase within them. Depending on the amount of documents you will have in your system this can take just a few seconds. If you have hundreds of thousands or even millions of files, then it may take a short while longer. But think of that compared to searching manually for these files…
There’s also the cost saving aspect that comes with that. With the time saved, staff can be allocated to other important tasks around the office that would have previously taken much longer to complete because of the time spent on document management. In addition this adds efficiency to the growing list of advantages.
There’s also the aspect of security. If for whatever reason your important files are damaged or destroyed, you will have the digital versions as archives effectively so you won’t lose all your important data.
Space saving is another key aspect here. If you are getting a little full with your documents and would like to get some of that space back, digital document management can help you with that. Once the files are digitised they can then be destroyed if you wish, or you can get us to securely shred them for you.
The advantages are endless and I find myself having to slow down here as this article could actually get extremely long if we went into all the other benefits of an electronic document management system.
If you’re interested in making your office a more efficient, cost saving and time saving, then digital document management could be the right way to go. It doesn’t cost the earth and it can start improving things for you straight away with results that you can quite literally see.
